If you need a room for 400 and want to bring your own caterer, the hall search will shape the rest of your wedding plan. Newcastle and Gateshead offer several large reception spaces, each with different arrangements. This guide compares their capacities and catering, then looks at the lighting and movement to plan for when the reception continues after dark.
Planning a large reception around Newcastle
Civic halls, football hospitality suites and community venues give you options for a larger wedding around Newcastle. Some rooms seat 500, but that figure needs checking against your table layout and dance floor. For a Nigerian, South Asian or multicultural celebration, also ask about a stage and space for the programme. A high capacity does not tell you how the room will work once all those elements are in place.
June to early September is a busy booking period, and popular summer Saturdays can be reserved eighteen months ahead. Winter dates may have more availability or lower costs. In late December, daylight is gone around 3.45pm, so outdoor portraits need an earlier slot. That may mean before the ceremony if its timing leaves too little light afterwards; agree the schedule before counting on evening photographs outside.
Reception halls sit on both sides of the Tyne, so a Newcastle wedding may use a venue in Gateshead. Check the address when planning guest travel, taxis and Metro journeys. For 400 guests, ask where people can park and whether they will need shared transport. A city centre room and a hall with its own car park make different demands on the travel plan.

Six Newcastle and Gateshead halls
The capacities here come from venue or council information. Confirm them on a visit, with the seating arrangement you need. A figure of 600 in theatre style may not cover round tables, catering access and a dance floor. Ask to see the proposed layout as part of the quote.
The Fed, Dunston, Gateshead
The Fed is worth considering if your guest list passes 250. Its ground floor banqueting suite seats 200 to 650 at round tables, with exclusive hire and around 100 parking spaces; confirm current charges. Tables, chairs, linen, crockery and glassware are included, and you can bring your own caterers and suppliers. The plain room leaves much of the appearance to your decorator. Discuss drapes and lighting early, since those choices will be prominent in the photographs.
Newcastle Civic Centre Banqueting Hall
Newcastle Civic Centre’s ground floor Banqueting Hall covers 542 square metres. It accommodates up to 500 for dining or 600 in theatre style, with a fully sprung dance floor. The Civic Centre’s kitchen provides catering, so check that the menu suits you before booking. The entrance staircase has a red carpet, and the ceiling height gives scope for a group of 300. Confirm the position and layout for that photograph rather than promising it from the capacity alone.
Wylam Brewery, Palace of Arts
Wylam Brewery occupies the Grade II listed Palace of Arts, a 1928 exhibition building in Exhibition Park. It has a full marriage licence, with ceremonies for 20 to 200, wedding breakfasts up to 200 and receptions up to 350. The Grand Hall holds up to 800 standing. The industrial setting has natural light through the hall in late afternoon. On a visit, look at what will be available during the reception’s first hour, with a lighting plan for when it falls away.
The Assembly Rooms, Fenkle Street
The Assembly Rooms on Fenkle Street is a Georgian, Grade II listed venue licensed for civil ceremonies. The Ball Room takes up to 500; connected spaces allow the wider venue to work with 50 to 1,200. Chandeliers, mirrors and long views through the interior give it a formal setting. Mirrors also affect where I can place a light without showing the equipment in wide photographs. Ask which spaces are included and how guests move between them.
St James’ Park, Newcastle United
St James’ Park has six licensed suites with a combined capacity of around 2,050. The Bamburgh Suite holds 1,000 and has a stage, dance floor and three bars. A raised platform can help guests see the top table or a Yoruba or South Asian reception programme. Confirm the stage arrangement, which suites overlook the pitch and any restrictions on match day dates before choosing a room.
Mansion House, Jesmond
Mansion House in Jesmond is the Lord Mayor’s official residence and the smallest option here: up to 82 for a seated dinner or 120 for a casual buffet, with a minimum of 60 covers. Exclusive hire includes five bedrooms and breakfast the next morning. Catering is in house. Gardens and a staircase give different portrait settings without leaving the grounds, useful when you need an indoor alternative or want to keep journeys out of the day.
Photography costs and coverage hours
Bridebook’s 2026 UK average for wedding photography is £1,484. For full day budgeting, £1,813 and £2,813 are illustrative quote amounts, with the latter roughly 55% higher. For an NE1 booking, compare the actual hours and deliverables in the quotes you receive.
A traditional engagement ceremony, church or registry service and reception for 400 can need twelve to fourteen hours of coverage, sometimes across two days. Write out the programme before comparing packages. An eight hour booking may finish before the evening events you want photographed, while a ten hour day may still be too short for the full plan. The pricing page explains the coverage options to discuss.
A full day in a large hall can produce 3,000 to 5,000 raw frames. Selecting and grading them can take twenty to thirty hours after the wedding. Ask about editing and delivery as well as the hours on site, then look at a complete gallery. A lower quote alone does not tell you whether that work is included or how the finished photographs will look.

Reception light, portraits and the journey
High ceilings and coloured uplighting need particular care in reception photographs. A distant ceiling may give little useful bounce, while magenta or amber uplighters can colour faces from below. I would plan light positions around the tables, stage and dance floor rather than assume one light will cover the room. Discuss the decorator’s and DJ’s lighting too, so that the photographic plan works with what they are bringing.
If possible, take couple portraits before entering a reception with 400 guests seated. Leaving again can take twenty five minutes once greetings and the programme are under way. In June, Newcastle has light until about 9.35pm; in November, the outdoor slot needs to be much earlier. Work back from sunset when planning portraits, then fit that time around the ceremony, travel and meal.
Confirm whether the particular room is licensed for a ceremony or offered only for a reception. Newcastle City Council’s directory of approved premises covers venues within its area, and government guidance explains the legal requirements. Check the registrar’s availability alongside the venue’s before committing to a date, since the two bookings are separate.
Photography with Cameraboss in Newcastle
I am John Lekan, a British Nigerian luxury and documentary wedding photographer based in Leicester and London. I was named Creative Photographer of the Year at the Creative Industry Awards 2024. For Newcastle, discuss whether arriving the night before would suit the start time rather than relying on an A1 journey that morning. Confirm travel, any overnight stay and their costs in the written quote before booking.
If you want photography and film, confirm the staffing and agree a shared timeline. Planning positions together helps in an aisle where there may be only three feet to work in. For Yoruba, Nigerian, South Asian and mixed ceremonies, I ask about the running order, money spray and when parents come forward. A moment can pass in two minutes, including during a Nikah, so I want to be ready for it. I also adjust exposure and grading for darker skin as the reception light changes.
Look through the wedding galleries for complete days, including the evening, and wedding videos for film work. The areas we cover page includes Newcastle and the wider UK. For an engagement session further south, the guide to shoot locations in Derby also covers permissions and timing alongside the choice of background.
Common questions
Which Newcastle halls allow outside caterers? The Fed in Dunston allows your own caterers and suppliers. Newcastle Civic Centre and Mansion House provide catering in house. Confirm the conditions in writing before paying a deposit or booking a separate caterer.
How is travel to Newcastle quoted?Share your date, venue and timings so that we can discuss coverage and travel together. You can read the current pricing and contact us about your plans before deciding what to book.
How early should we book a summer Saturday?Allow twelve to eighteen months for a larger hall where possible; the biggest rooms may book earlier. Check the venue and registrar together before reserving the rest of your suppliers, so that both are available on the date you choose.
Do you cover Gateshead, Sunderland and Durham?Yes, along with Washington and Northumberland. Several halls serving Newcastle weddings are on the Gateshead side of the Tyne. Include each location in the enquiry so that the travel plan reflects where the day takes place.
Can we arrange a group photograph of 300 in a hall? Some rooms have the ceiling height and a balcony, staircase or stage needed for that view. The Civic Centre Banqueting Hall and larger St James’ Park suites offer possibilities. Discuss the exact room and guest numbers with me and the venue before committing to it.
